Planning a Multi-Store Window Display Rollout

A multi-store window display starts with one creative direction, but the production brief needs to account for every location. Different window sizes, quantities, access routes, and installation dates can turn one design into several versions. We make repeat batches of display props and plan the work around the details agreed for your rollout.

Start with a store-by-store list and the earliest installation date. This gives your team and our workshops a common reference for design approval, production, packing, and the delivery quotation. Our custom window display props page introduces the types of work we can make.

Build a clear store-by-store brief

List each store, its address, the quantity of each prop, and the size or design version needed. Include the installation date and the date the receiving team needs the shipment. Use one consistent name for each version across drawings and quantity lists, and state the measurement units.

Add the receiving contact and any known access restrictions, including door openings, elevators, and turns. If delivery is planned to a warehouse before store distribution, identify that receiving address separately. Our brief checklist covers the drawings, finish references, approval contacts, and other information that helps us review the project.

Separate the shared design from store variations

Identify what should remain the same across the rollout: the silhouette, main colors, surface finish, or arrangement. Then list the differences needed for particular stores. A smaller window may need a different height or fewer pieces, while a larger space may use more of the same prop.

Our Roman column display props include tall and short forms, a useful example when planning height versions. Mark each required height in the quantity list instead of leaving the choice to the installation team. Ask your team to review the complete arrangement as well as the dimensions of individual pieces.

Approve one sample standard for the batch

An approved sample gives repeat production a clear reference. We agree on a physical color and finish sample, then check the batch parts individually against the approved sample. Your team should settle the intended appearance before the batch proceeds, with one approval contact collecting comments from everyone involved.

Keep that approved reference linked to the correct design version. If a store requires a different color or finish, identify it clearly and include its approval in the plan. Combining comments into one response helps avoid conflicting directions on the same piece. Record any agreed revision in the brief used for production.

Check the quantities by design and destination

Review the total quantity against the store list before production begins. Check both the number of complete displays and the number of individual parts within each display. A scene with several props needs a clear breakdown so the order is understood in the same way by the design, purchasing, and installation teams.

Our giant lollipop display props offer an example of repeated sculpted forms. For your own batch, specify how many of each size and color belong in each arrangement. If you need extra pieces, list them separately rather than leaving them within a general total.

Review test assembly before the pieces are packed

We test-assemble the props before shipping and send photos and videos for approval. For a rollout with several versions, make the version names clear in your review comments. Check the overall arrangement, the relationship between parts, and the agreed colors and finish.

Large pieces can be split at your request, with connectors at the separated sections. Review that arrangement early enough to include it in the design and packing plan. We provide installation instructions. If you need on-site support, raise the request during project planning so it can be reviewed alongside the locations and dates.

Agree on packing and any split shipments at quotation

Packing requirements belong in the quotation brief. Props under one meter use cartons with EPS foam; large or fragile pieces use wooden crates. The package arrangement also needs to account for any agreed detachable sections. Share the receiving and handling requirements before we settle the packing plan.

If you want separate shipments, identify the proposed groups, destinations, and required dates at quotation. Include any requested store or version labels in that brief. Our packing and shipping guide explains the packing options and the information needed to connect the workshop plan with the receiving arrangements.

Define the destination and shipping term

Tell us whether the quoted destination should be a warehouse, a receiving site, or several addresses. We quote against the agreed destination and shipping term. Any proposed split shipment needs to be reviewed in the quotation, alongside the packing and dates for each group.

We can quote EXW, FOB, CFR, CIF, or DDP as agreed for the project. State the term your team wants us to review and who will coordinate receipt and onward movement. Keep the quoted destination distinct from the store installation address where those are different. This makes the requested delivery scope clear before the order proceeds.

Work backward from the earliest installation

Use the earliest store installation date to build the schedule. Include time for design review, sample approval, production, test assembly, packing, transport to the agreed destination, and the receiving team’s preparations. Sampling is generally about 10 days and production about 30 days, with the timing agreed for the project.

Leave room for your internal approvals and tell us when each reviewer will be available. If dates vary by store, show them separately. Our display prop lead-time guide explains how to build a schedule around the installation requirement rather than treating production time as the whole plan.

Send a brief that connects the whole rollout

Send the store list with your design, version quantities, physical finish references, requested destinations, and earliest installation date. Add the proposed shipment groups and the people responsible for approval and receipt. Explore our display prop projects for examples to use when describing the forms and arrangements you need. We can then review the production and shipping scope with your team.
